3.3. Google Drive: How Do I Archive My Files?
Ravenna Public Schools’ users should archive their laptop files at the end of the year. Your laptop will be reformatted, and all files deleted, beginning immediately after they are turned in. If you haven’t made an archive, your files are gone.
Archiving takes a current "snapshot" of your files. If you make any change to any file, an archive is not updated automatically. You must follow these instructions to copy changed files to your archive again.
Your Ravenna Public Schools Google drive must be setup before proceeding. Please refer to the help document titled, "How Do I Set up Google Drive On My Computer?" When Google Drive is setup, begin with step 1 below.
1. About your RPS Google Drive
Each user has unlimited storage in their student (@rpsstudents) or staff (@ravennaschools.org) account. This means the contents of your laptop can be archived (transferred) in its entirety to your Google drive. Unfamiliar with Google Drive? Meet the new Google Drive .
- Click the Google Drive icon.
- Click "Open your Google Drive folder".
2. Open a second Finder window
You need two Find windows open. You opened the first one in the previous step.
- Verify Finder is the current program.
- Click File
- Click New Finder Window
3. Arrange the Windows so they are side-by-side
Your windows might look different.
4. Create a folder in Google Drive to archive your files
Create a folder in your Google Drive folder.
- Your Google Drive began synchronizing files as soon as you installed it. You may see files on your Google Drive already.
- Click the Google Drive folder.
- Create a new folder and rename it "My Archives" without the double quotes. Below the folder "My Archives" is highlighted. Sometimes it is necessary to rename your file.
Double-click "My Archives" to open the folder.
5. Drag files from your account to "My Archives" folder
You are going to drag files or folder from your Home Directory to the folder called "My Archives." You can drag each item individually or all at once.
- Click the window with your files.
- Click the Finder menu > Edit > Select All.
- Deselect Google Drive. Press and hold the ⌘-command, then click Google Drive to unhighlight it.
You may have thousands of files to transfer. The tech department expects that connecting to RPSBulldogs and making the transfer at school will transfer your files the fastest.
6. Patience
Make sure you leave plenty of time for the copy to finish. The time will vary depending on how many files you need to transfer.
