1. Enhancing Your Issue Reporting
1.1. HelpDesk: Submitting a new request
The Ravenna Public Schools' helpdesk portal is a support center where you'll find documentation, customer forums and request submission forms. All support files on the portal were created specifically to answer questions posed by RPS users.
1. Look at your Dock or Desktop for the the icon
Don't remember the URL (address) of the portal? Look for the Bulldog icon the tech department has helpfully (tried to) put on your device.

Reminder: Helpdesk requests aren't NIRTS (Need It Right This Second).
- Click Submit a Request
3. Submit a Request for Assistance
Begin filling in the form
- First name
- Last name
- Email address. Accuracy is critical. Your email cannot be mistyped. Proofread a lot before submitting the request.
- Pick a category that you think is closest to your issue.

Answering these three questions may seem tedious and redundant.

Attaching a screenshot(s) is highly encouraged (A picture is worth a thousand words). Remember, the better you define the issue for us the faster we might be able to resolve it.
- Click Browse... to navigate to your screenshot (up to three (3) here. You can attach more files to a future response.
- Click the square because you are not a robot.
- Click Submit Request.
An email will be sent to the email you typed in (accurately) earlier. You may follow the instructions in the email to reply to the request without returning to the portal.
1.2. Provide Details To Your Request
Providing a short descriptive sentence of the issue is a good way to start.
Providing details, however, may hasten resolution.
Some common questions to answer in your request include:
- Does it happen after you restart your computer? Save your work before restarting.
Be sure to update this request if restarting solves your issue. We want to know :-)
- How often does it happen? Is the problem intermittent, or can it be reproduced?
- When does the problem occur?
- What program are you using?
- What kind of file is it?
- What is the URL (web address) you are trying to access?
- Describe the steps you are taking.
- If you get an error message, what does it say? Screenshots can help with this.
- What program(s) were open when the error occurred?
- Login issues? Include what you think are the login credentials (username / password) you attempt to use.
- If you have any attachments such as screenshots or documents, attach them to this request.

3. Adobe Flash Player plug-in
Beware when sites unexpectedly ask you to turn on Flash. If you aren't expecting it, investigate before allowing it.
- Verify Adobe Flash Player is checked.
- Look for the relevant website.
- Choose "On" for websites you trust.
- You might want to change this to Ask.
- Click Done after making your changes.
Close your Safari preferences and try the website again.

1. Where the Flash settings are depends on the version of Safari you use. These instructions are for Safari version 11.0.2.
Check your version of Safari.

- Click Adobe Flash Player. This plug-in should be checked.
- The website in question should be set to on. Change it to On if it is not.
- If you want Flash to be turned on automatically, set "When visiting other websites:" to On.
Close Safari Preferences when finished.
2.3. Firefox: Set preferences for PDFs to "Preview in Firefox"
Use Firefox preferences to control how Firefox works overall and how files are handled.
1. Open the Firefox preferences

- Click Applications.
- Begin typing "pdf" without the quotes. Firefox will automatch characters as you type.
- Click on the Action options.

Firefox preference changes (should) happen right away. If they don't, quit your browser, then reopen it.
You can be bold and select different Action(s) to see what happens.
2.4. Flash - Chrome - How do I enable the plugin?
These instructions will take you to an Adobe support page.

2.5. Flash - Firefox - How to work around an update is available message.
Adobe Flash Player (AFP) is updated often because it is an inherent security risk. Many browsers turn off AFP automatically. Because many web sites are eliminating AFP and we strive to update Flash quickly, you usually don't need to work around it.
1. An update to Adobe Flash Player is available.
This is what the primary message looks like. It appears automatically. Click "REMIND ME LATER" to dismiss it.
2. Quit Firefox.
FileWave will update your laptop silently and in the background. Connect to the Internet for about 10 minutes (at school). It may take longer (or not update at all) when you are away from school. Your browser, however, won't know if AFP is updated until after it is quit, then started again.
Note: Whenever you encounter an issue on your computer, the tech department recommends you quit the application. If quitting doesn't work, restart your computer.
- Click Firefox > Quit Firefox.
3. Begin your Firefox work around
- Start Firefox
- Click Tools > Add-ons.

- Click Plugins to view all your Firefox plugins
- The name of the plugin column.
- A date and description of the plugin.
- Tell Firefox when or how to use the plugin.

- Hover anywhere over the plugin name to view the version. (This is the AFP version as of 2017-02-20.)
- Click on the dropdown menu to choose how to handle the plugin. Even though it is a security risk, I choose "Always Activate". Most security experts discourage this setting for AFP.

2.13. How Do I Remove Adware?
Surf with your eyes open!
Staff laptops are particularly vulnerable because they are admin users. Student laptops seem to pick up browser extensions that cause heartache.
"But I didn't do anything."
Often, as we use our web browsers, despicable websites (MacKeeper, Softonic, Download) love to wrap adware, and other carcinogens around legitimate software downloads. Furthermore, detestable people try to contaminate your computer during your surfing to their site.
Consequently, without knowing it, one malefically installs malignant software. I highly recommend you read this thesafemac.com paragraph describing a typical manipulation tactic. Malware corruption can occur to students and staff, but staff tends to be more vulnerable.
Feel uncomfortable if, out of the blue, your browser says to you, "Hey, you've got problems, or I can help remove that virus from your computer." The biggest lie, of course, is a message along the lines of "Trust me." If you have deliberately initiated a (legitimate) download, or are following instructions from a reliable, trustworthy source, you are likely OK.
The Safe Mac (@thomasareed, @thesafemac) is a reliable and trustworthy site for learning more about Mac malware.
Students
All
- Quit downloading, and stop sharing, your illegitimate and illegal files from Eastern European, Asian, Torrent, et al. sites.
- It is your assigned RPS computer. Never, ever let anyone else use it! Tell them the tech dept said so.
- File a Help Request.
- Ask your teacher for permission to get online during class, and then call the tech dept to take a look-see.
High school
- Come visit the tech dept in RHS 402.
Staff
- Don't respond affirmatively to uninitiated software install requests that you didn't deliberately seek out.
- It is your assigned RPS computer. Only let someone else use it in your classroom, in your presence.
- File a Help Request.
- If your browser is hiccuping, try running AdwareMedic from The Safe Mac.
2.14. Safari - Develop menu > Clear Caches
Start Safari
- Close all Safari windows (obviously not shown here)
- Click the Safari menu
- Click Preferences...

The Develop menu appears in Safari. To delete only the items in cache:
- Click Empty Caches
Open a new Safari window and see if the problem is fixed.
Brute force: History
See if clearing only the cache works. Clear History... is a scorched Earth approach to fixing browsing issues.

- Start with the least amount of time: "the last hour"
Open a new browser window. See if that fixed the problem.
- Keep working down the list. Keep closing and reopening a new window. Quit and reopen Safari.

- The ellipsis indicates there are more options available. These options are not always available in a google doc or sheets. The additional options are not covered in this document.

3.2. Google Drive: Getting there from gmail
Getting to other Google services from your inbox is easy, peasy
1. Assuming your Google mail inbox is already open
Your list of services may be in a different order. You may have to scroll down to find the Drive icon.
- Click on the waffle icon at the top right of your inbox
- Click Drive

A list of your documents appears.
- Get familiar with "Search Drive" to find and open your documents and documents shared with you.
3.3. Google Drive: How Do I Archive My Files?
Ravenna Public Schools’ users should archive their laptop files at the end of the year. Your laptop will be reformatted, and all files deleted, beginning immediately after they are turned in. If you haven’t made an archive, your files are gone.
Archiving takes a current "snapshot" of your files. If you make any change to any file, an archive is not updated automatically. You must follow these instructions to copy changed files to your archive again.
Your Ravenna Public Schools Google drive must be setup before proceeding. Please refer to the help document titled, "How Do I Set up Google Drive On My Computer?" When Google Drive is setup, begin with step 1 below.
1. About your RPS Google Drive
Each user has unlimited storage in their student (@rpsstudents) or staff (@ravennaschools.org) account. This means the contents of your laptop can be archived (transferred) in its entirety to your Google drive. Unfamiliar with Google Drive? Meet the new Google Drive .
- Click the Google Drive icon.
- Click "Open your Google Drive folder".
2. Open a second Finder window
You need two Find windows open. You opened the first one in the previous step.
- Verify Finder is the current program.
- Click File
- Click New Finder Window
3. Arrange the Windows so they are side-by-side
Your windows might look different.
4. Create a folder in Google Drive to archive your files
Create a folder in your Google Drive folder.
- Your Google Drive began synchronizing files as soon as you installed it. You may see files on your Google Drive already.
- Click the Google Drive folder.
- Create a new folder and rename it "My Archives" without the double quotes. Below the folder "My Archives" is highlighted. Sometimes it is necessary to rename your file.
Double-click "My Archives" to open the folder.
5. Drag files from your account to "My Archives" folder
You are going to drag files or folder from your Home Directory to the folder called "My Archives." You can drag each item individually or all at once.
- Click the window with your files.
- Click the Finder menu > Edit > Select All.
- Deselect Google Drive. Press and hold the ⌘-command, then click Google Drive to unhighlight it.
You may have thousands of files to transfer. The tech department expects that connecting to RPSBulldogs and making the transfer at school will transfer your files the fastest.
6. Patience
Make sure you leave plenty of time for the copy to finish. The time will vary depending on how many files you need to transfer.
3.4. Google Drive: How Do I Transfer Content?
If you want to transfer Google content you created in your RPS domain (@ravennaschools.org or @rpsstudents.org) this is how. It is especially relevant if you are leaving Ravenna Public Schools.
1. Transfer email and docs to a personal account
- Click your Google Account icon in gmail.
- Click My Account.

3.5. Google Groups: Managing members
Google Groups makes it easy for groups of people such as project teams, departments, or classmatesto communicate and collaborate. You can send an email to everyone in a group with one address, invite a group to an event, or share documents with a group. This is an alternative way to email all parents, all students, or different subsets of each in different hours of the same class.

The tech department will create your group for you.

Scroll down looking for "Google Apps" (not shown in this screenshot). NOTE: "Google Drive" is NOT, repeat NOT, the same as Google Apps and should not be chosen.
From the Motherboard article, "Locate the 'Google Doc' app. This looks totally legitimate, but it's actually not. If that's the malicious app that's gotten access to your account after you clicked on the link it should have a recent 'Authorization Time.' Now, click on that Google Docs app and click 'Remove'."
3.15. SPAM: Anatomy of a suspicious email
Looking for clues that an email is dishonest or disreputable.
1. You think you've received a suspicious email
Sometimes spam gets through the Google email filter. There are many reasons for this. In this case, Google appears to "know" it is SPAM but sends it to your inbox anyway. That's because emails from @ravennaschools.org (and other domains) accounts are whitelisted.
2. Breaking it down: The Subject line
Is the Subject line sketchy?
- Were you expecting a email from this person that shares a Google doc? Does the text of the message "sound" like previous emails from this person? Is the topic something they would share with you even if they didn't forewarn you?
If not, follow up via a phone call, or separate email to confirm they sent this.
3. Breaking it down: Get more details
Checking some details may give you insight. NOTE: This is a legitimately forwarded message to me. There is no indication of malfeasance in this screenshot.
- Click the down triangle to open the delivery details. Again, this is a legitimate forwarded email, so the screenshot looks ok.
4. Breaking it down: Suspicious stuff
This example looks at the forwarded message. You would see similar things if you were looking at the details described in the previous step.
- You don't know the Sender.
- You are not the Recipient.
- The message is generic. There are no details that "sound" like a sender you would know or even expect to get an unexpected email from them.
Conclusion. This appears sketchy. Confirm the person sent this email via a different method. I prefer calling.
5. Consider using a screenshot rather than forwarding.
It is OK to notify the RPS tech department about your concern. Forwarding a suspicious email, however, may not be the best way to ask.
Attaching a screenshot to a different email reduces the chance of spreading whatever contagion might be lurking at the end of this link.
3.16. SPAM: Report an email to Google

4.6. Podium: Using the RMS computer lab "dog house"
The computer lab teacher podiums have a special controller for the document camera, PC and projectors.
1. The Dog House Home Screen
This is the home screen. When the screen is off (black), tap the screen to view the controls.
- Tap to return home (this screen). The Home icon is available on all menus.
- Tap to power on projector 1 or 2. Tap both icons individually to turn them both on.
- Tap to turn off each projector individually.
- Tap to turn both projectors off at the same time. It doesn't matter if one or both projectors are on when you tap.
2. After tapping Proj 1 or Proj 2 on the home screen
It doesn't matter which projector icon you want to control. Choosing either projector icon controls them both. Both projectors will show the same output. The computer labs do not display one source on projector 1 and a second source on projector 2.
- Tap to select PC as the source.
- Tap to select the document camera as the source.
- Tap to select a video iPod as the source. It is unlikely you have a video iPod. Apple deprecated them around 2008.
- Tap the Home icon to return. You must go home to get to the "All OFF" icon.
4.7. Telephone: Which port is which?
It is important that the cables are plugged into the correct port.
It doesn't matter which phone. All our phones have the same ports
- The cable coming from the wall plugs into the network port.
- The cable that plugs into your computer comes from the computer port.

If you encounter a "blocked" website you can, "check the classification of a URL in the Trustwave (M86) Filter List database" for the reason. Once you've checked it, there is a link to "Submit a site for review." You do not need to clear this with the technology department.
You will, however, need to involve the technology coordinator if you submit a site for review and the filtering continues after receiving a response from the vendor.

Ravenna Public Schools (RPS) uses FileWave (FW) as a "Mobile Device Management (MDM) solution." An MDM is Apple's solution to "get apps and books into the hands of (RPS) users quickly and easily." Using an MDM requires a purchase, by RPS, of software and hardware via an educational institution store setup by Apple.
Here is how to report the apps that you find in the iTunes store to the tech department. This will reduce the tech department's challenge(s) in identifying the exact app you desire.
1. Start iTunes
You will want to click the following:
- The "Apps" icon. Click the ellipsis icon to select "Apps" if the Apps icon is not showing
- Verify you are in the App Store
- If necessary, click the iPad tab
- If necessary, use the search to find an iOS app.
2. Browsing the Education category in the App Store
- Beneath the "App Store ∨" menu . . .
- is an "All Categories ∨" menu. Click "All Categories ∨" to expand the menu as shown.
- Click the "Education" category.

4. Here is the vital information to include in your help request.
- The entire title of the app exactly as it appears, "Seesaw: The Learning Journal." without the quotes.

- The iTunes Store link in case the tech department needs more information. This link is very important to include.
- Next to "Get" is another ∨ symbol (can't see ∨ in the image). Click the ∨
- Click "Copy Link". Though it will look like nothing happened, the link to this page in the iTunes Store is placed in the clipboard. You can then paste this link into your help request.

8.1. Copiers: Create User Login Presets
To send a print job to the copier, your account code must be “sent” each time you print. Here is how to set your printing preferences to do that.
1. Have something to print
To setup your printer "Presets:" You must have something to print. This example uses TextEdit.
2. File > Print dialog

- Printer: set to RHS-403C.
- Presets: set to Defaults. The preset "Defaults" will print to printers, but not copiers. You do not want to use "Default Settings" when printing.
- If this says Show Details, click it to see Hide Details and expand the print dialog.
3. Switch Printer: to a copier.
Click on the list of printers and click a copier name. It doesn't matter which copier, it must be a copier.
4. Select the User Login option
Each program displays the printer options in slightly different spots. Your printer dialog box might look (a lot) different.

You are not ready to print yet. So, don't.
- Click "on" User Login
- Click "Use Specific Name".
- Enter your name aka Access Code. Your 4-digit Access Code corresponds to Name:

- Click the Help menu option at the top of the screen.
- Type in the following Search without the quotes, "set up a printer". I clicked the first selection in my list.
- The intro paragraph gives you some valuable background including, "Most USB printers and AirPrint-compatible printers are added to the list automatically when you first use them."
- Choose the USB, wireless, or network instructions based on your home setup.

Apple sends out OS software updates that require a restart. The tech department prefers to give our users an option on when to install this software. FileWave's red sail appears in the main menu when software updates are available.

4. Install the OS Updates
- Click Install button on each row to begin installing. You may click more than one install at a time.

The software begins downloading and installing.
6. FileWave checks for running programs.
It's easier if you close all your programs beforehand, but if you forgot or missed any, FileWave lets you know.
- You can go to each program and exit each one manually.
- You can click "Quit All" to let FileWave quit the programs for you.
- NO, NO, NO, never, never, "Delay". It seems more people contact us with issues when people "Delay".
7. Install will begin
- FileWave begins counting down to installation or
- You can click Start installation to begin immediately.

- The FileWave Installer will complete unless you interrupt it. Never interrupt it. How long an install takes depends on the update. Start it when you have time to walk away.

An OS update cannot be uninstalled. Hence, Uninstall is grayed out. Congratulations!
13.4. FileWave: Force verify your files?
This is how to manually initiate Verify to fix apparently malfunctioning applications. Your device will automatically Verify every 24 hours if connected to the Internet. The FileWave Kiosk contains an info pane with a Verify button for the user to initiate a request to the server to verify, update, and repair any associated Filesets. This is the identical method the tech dept uses to fix your files.
Since spring 2016, your device can check in with the Ravenna Public Schools FileWave server from external locations. You do not need to be onsite. How long Verify takes depends on the speed of the Internet connected network you use.
1. Get your RPS device connected to a wired, or wireless, network with access to the Internet.
How you get connected will depend on your location.
2. Open the FileWave sail by clicking it.
If the FileWave sail is not showing, wait patiently. It may take 2-3 minutes for your device to check in with the FileWave server after getting online.
- Click Client Info...

- Click Verify (once) to begin verifying files. Verify takes "awhile."
- The Status: message line should tell you what is happening with FileWave. Assuming your Server Connection: status is "connected" a Verify will take some time. Patience please.

Status: will begin alternating between Running... (shown) and Check for a new model in 'nn' seconds. This means Verify is finished.
Try opening the troublesome program now. If it still doesn't open, update your help desk request for further intervention by the tech dept.
